What we collect when you apply for certification, why we hold it, and what appears on the public register.

What we collect

When you apply, we collect the farmer's name, village, phone number, and — if you give them — a WhatsApp number and email address, along with a short description of the farm. During an inspection a technician records details of the land, including its location (GPS coordinates), water source, soil, crops, farming practices, and laboratory sample results.

How we use it

We use your contact details to arrange the inspection visit and to tell you the outcome. The inspection record is used to assess whether the farm meets the organic standard and, if it does, to issue and verify a certificate.

What appears on the public register

If a farm is certified, a limited set of information is published on the register so that buyers and the public can verify it: the farmer or farm name, the village and kabupaten, the member number, and the certificate's status and validity dates. Your phone number, WhatsApp, email, and exact GPS coordinates are NOT published. An application that is not approved is never published.

Who we share it with

We do not sell your information or share it for advertising. Laboratory samples are handled by the testing lab named on your record. We use an email delivery service to send the messages described above. We may disclose information if the law requires it.

How long we keep it

We keep application and inspection records for as long as needed to run the register and maintain the integrity of past certifications. You may ask us to remove records that are no longer required.

Your choices

You can ask to see the information we hold about you, correct anything that is wrong, or ask us to remove it where we are not required to keep it. Giving a WhatsApp number or email is optional; a phone number is needed so we can arrange the visit.
